The machine

In: bank statements, member records, applications, staff decisions. Out: member balances, credit union income, an audit trail, analytics and packs.

Each output is the next input

Statement line plus member reference equals a matched repayment. Repayment plus accrued interest equals interest cleared and principal reduced. That plus the fold equals income booked to the credit union's ledger.

Inputs

Statements matched by reference, name and history, with anything uncertain parked for a person. Members known once: identity, documents, shares, history. Products carrying rate, term, limits, shares required and eligibility.

Decisions

Applications from portal or desk into one queue. Committee sees one file and its decision and reason are permanent. Four eyes: whoever records a payment can never verify it.

The engine

Interest accrues daily on the real balance (£29.59 on £1,000 over 30 days at 3% per month), folds into the balance monthly, and every payment clears interest before principal. Arrears are flagged, with grace on entry for benefit-paid members.

The loan lifecycle

Requested, docs in, interview, committee, approved, awaiting payout, paid out, active, complete. A loan is only ever in one of these and no step can be skipped. The honest endings a real book has are there too: changes requested, rejected, in arrears, consolidated after a top-up, written off.

The interview

Income £1,240, outgoings £890, £350 left over against a £96.44 payment. The answers and the arithmetic are saved to the case, so the committee reads what was said rather than a summary.

Committee session

An agenda with quorum, each loan decided in turn, votes recorded and the reason written down against the decision.

The income ledger

Interest collected, interest accrued but uncollected, and recognised income to date, built from the same rows as member balances so the two cannot disagree.

Control

Thirteen roles from receptionist to internal auditor, enforced at the server rather than hidden in a menu. Member sessions are scoped to that member. Document downloads are recorded. Data can be exported and taken with you.

How it feels to use
